How to gather feedback from project members

Effective communication among team members is crucial for the success of any recruitment project. Teamdash offers a streamlined way to get valuable feedback from project members by:

  • Using custom feedback forms.

  • Automated project actions that launch when a project ends.

  • Internal messages inbox.

This guide will walk you through the steps to create an internal feedback form, and how to send messages to project members.

Internal Forms

Teamdash offers two types of forms: Candidate Forms and Internal Forms. Internal forms are intended to collect feedback from project members about the recruitment process.

Both form types are created and managed under the Forms menu.

Create a recruitment feedback Form

  1. Navigate to the Forms menu and click "Create Form".

  2. Select "Internal Form"

Teamdash automatically offers an example template to get started. You can Edit or Delete all existing fields and add new ones. You can learn more from our Form Builder article.

Ask feedback as an automated action

The recruitment feedback form can be conveniently set up as an automated project action. This ensures that all project members receive the feedback form automatically once the project status is changed.

Setup: Adding a new project action

  1. Open the Actions menu in the project view and click "+Add project action":

  2. Add preferences to Message project members:

    1. Action Name - visible in Teamdash, e.g "Send feedback request".

    2. Trigger - by default “Automatic - after project status change”.

    3. Delay - buffer time between project status change and launching the action.

    4. Only run ifProject status is ➝ Choose status


      Setting up these preferences will automate the action flow. For example, after finishing a project and marking the Teamdash Project status to Finished, Teamdash will send a feedback form request to all project members after 15 minutes.

    5. Choose template or create a message.
      Here you can compose the automated email request to give feedback on the recruitment process. The message must include the merge tag [form_url]. The merge tag will generate a unique form link to all recipients.


    6. Form - choose from existing internal Forms. This would be linked to the merge tag [form_url].

    If needed, you can change the sender signature or save the composed letter as a template for future use.

  3. Click Save - the action is now saved under the Project Actions!

Giving feedback as a Project Member

Following the example above, the automated action will launch a feedback request after the project is marked as Finished.

When users click on the link in their email, they can complete the feedback form through a default view:

Teamdash menu panel offers a quick navigation to Messages.

Messages menu is an internal inbox where you can review all internal and candidate related messages.

To review feedback from project members, select Users. This will display all messages sent to users and the feedback they’ve provided through the forms.

FAQ

Can I ask for feedback separately from users?

Yes, you can manually ask for feedback from specific users under the project view.

  1. Select the User:
    Click on the user's initials from the project view.

  2. Choose Message:
    This will open the message modal where you can compose your message.

  3. Send the Message:
    After sending the message, the user will receive it immediately.

This allows you to gather targeted feedback from specific users anytime during the project, aside from the automated feedback requests.
