How to send out messages under another email address

In Teamdash, all Admin and Regular users can communicate with candidates. By default, the email with which you create the Teamdash user account will be visible as the sender's email for all outgoing messages. But there are options on how to change this default setting and use other emails to show as the sender.

"Send as user" for messages

In Teamdash there is an opportunity to send messages from different accounts. In the Organization settings, under the Mail tab, administrators can specify which accounts recruiters can use to send out messages.

  • Disabled - recruiters can only send messages under their name and account email or choose the "From" sender only for automated actions.

  • Only from service accounts - recruiters can send messages under their name and under the service account email that has been set up by the administrator.

  • Any account - recruiters can send messages using any account available within the instance.

Service account

A service account is an email address that can be used as the sender's email for outgoing messages in Teamdash. The most common practice is to use a company email like cv@ or hr@ to give general feedback without sharing your recruiter's details.

An admin user can add a service account to your instance from the Users menu:

You can add a name, and an email, and choose the User Role to be a Service account. When a recruiter is composing a new outgoing email or an automated stage action, they can choose the Sender to be that service account:

Keep in mind that:

  • you can not log into a service account.

  • a service account will not be included as a user license for billing

When sending a message, you can choose who you want to send the letter from:

Benefits

Sometimes different recruitment stages require different approaches. You can use a general service account email to send out the first confirmation letter about receiving a submission or the rejection letter for the candidates who didn't get past the CV screening.

You can share detailed recruiter contacts in later recruitment stages that require personal contact with the applicants.
