File Types

Creating different file types for efficient management

Written by Jaanika Luik

Teamdash makes file management easy by offering three default file types: CV, Candidate Photo, and Other Files. When a candidate applies with a CV, the system automatically recognises it and sorts it into the CV category. This ensures that recruiters can quickly find and access important candidate information.

Custom File Types

Additionally, recruiters can create custom file types in Teamdash. This allows recruiters to assign candidate-shared files to the correct file type, ensuring all documents are organised effectively.

AI file typing: Teamdash AI recognises more than CVs. When a file is uploaded, AI sets its file type automatically, including your custom file types (for example Cover letter or Training certificate). These files are marked with an AI badge. To change a type, open the file's ⋯ menu and choose Set type to…

The same ⋯ menu also has Set dates (add the file's validity dates) and Extract details with AI (let AI read the dates and details from the document). Read more in Credentials Validity (Add-On).

Creating File Types

You can name new file types to suit your specific needs by going to the File Types page under Data structure.

To add new file types:

  1. Click +Add file type

  2. Name the file type

  3. Click Save

  4. All the named File types are listed on the File Types page

Expiry and warning period: when you create a file type, you can also set an Expiry period (default 1 year) and a Warning period (default 30 days). The expiry period is used to calculate the expiry date if the file has no expiration date of its own. The warning period sets how long before the expiry date the file is flagged as expiring soon, so expiring documents are easy to spot. Read more in Credentials Validity (Add-On).

Requesting Specific Files via Candidate Forms

When designing candidate forms with the Form Builder, recruiters can request specific files and assign them directly to custom file types. By selecting a custom file type as the target field for file upload fields, any files submitted through the form will be automatically categorised under the designated file type.

FAQ

What happens when I delete a custom file type?

When you delete a custom file type, the system will ask for confirmation to ensure you want to proceed.

After deletion, all files that were previously assigned to that custom file type will remain in the system. However, they will be reclassified as "Other candidate file" instead of the custom type you had assigned.

This means that while no files are lost, they will no longer be organised under the deleted custom file type, and you may need to manage them accordingly.
