Admin, Regular user, and Limited

What are the differences between user accounts types?

Admin user

That’s an easy one – the administrator can manage everything. The admin user can access all functionalities in the instance.

Regular user

The regular user is usually a recruiter. They can manage recruitment projects as the admin account, but there are limitations on how they can access general settings. The regular user

  • can not access Organization Settings

    • Organization Settings with options to choose default settings and enter corporate information is open only to admins. The Regular user can still Create and Edit projects as they prefer.

  • can not access the Users menu

    • Regular users can invite new project members and send out invites to new users, but they can't manage or edit the existing user accounts.

  • can not access the Tags menu

    • Regular users can create new tags to candidate profiles and add tags from the existing selection. But they can't Edit or Delete tags from an organizations instance.

Limited user

Limited user role is best for engaging your hiring managers or clients with the Project, it has many specifications and you can choose the scope of what's visible.

Project view
Limited users can only see the projects where a Regular or an Admin user has invited them to be project members. Other projects will not be visible on their dashboard view.


Candidates view
Limited users can only see candidates who have applied to the projects they are members of. The overall organization's candidate database view is hidden.


Candidate profile view
Limited users can access the Basic Information, Public Comments, and Interviews.

You can choose if a comment is private or public. Limited users can see public comments that are relevant to the project.

What can Limited users do?

  • add candidates manually

  • add candidates with drag&drop from their Outlook mailbox

  • move candidates between different project stages

  • add comments and impressions about candidates

  • view and comment on asynchronous video interview (learn how to use asynchronous video interviews) answers

  • add comments and upload documents to the Project Folder

  • initiate Job Requisitions

Custom settings for limited users

There are some preferences the Regular and Admin roles can set:

  • stage visibility in the project view (by Regular and Admin)

  • messages tab visibility from organization settings (by Admin)

  • tags visibility from organization settings (by Admin)
